I have watched several ways people organize their cellars. I have a little over 400 bottles and sometimes can't quite find things. The most important tool in my opinion is an accurate "bottlecount" listing. I've used this online service for several years and found it very useful. After 2 years I reconciled. Basically, I counted all the bottles I had and then looked at bottlecount. I was off by about 20%. I think it's pretty easy to drink a wine and then forget to register it! It took a couple of hours but it all came together.
As far as organizing, I have wines I want to hold, and wines I expect to drink young. I keep the two separated. For me that's pretty much it. You can buy bottle tags but that's not for me. I keep buying wine (and usually by the case) and press the limits of space. Everytime I add I get reacquainted with what's already there. Wine and the good life, what could be better!
